Privacy policy
Last updated 24 October 2026
Deal Sourcing Machine Ltd (“DSM”, “we”) runs DealWolf. We respect your privacy and are committed to protecting your personal data. This policy explains what we collect when you use DealWolf, why, where it's kept, and your rights. DealWolf is for property professionals and isn't intended for children.
1. Who we are and how to contact us
Deal Sourcing Machine Ltd is the controller of the personal data about you as a DealWolf account holder. For any question about this policy, or to use any of your rights, email dealsourcingmachine@gmail.com.
You can complain at any time to the Information Commissioner's Office, the UK regulator for data protection (ico.org.uk). We'd appreciate the chance to put things right first, so please contact us before you do.
2. Two kinds of data, two roles
Your account. Your email, your password (stored only in scrambled form), your workspace name, and how you use DealWolf. We decide how this is used, so we're the controller.
What you put in your workspace. The leads, deals, buyers, investors, contacts and notes you add are yours. You decide what goes in and what it's used for, so for any personal data in them you are the controller and we process it only on your behalf, to run DealWolf for you. Each workspace is private: no other account holder can see into it, and we don't use its contents for anything else.
3. What we collect about you
- Identity and contact: your email address, and your name if you add it.
- Account: your password (scrambled), your workspace's name and settings, the areas you choose, and your role if you're on a team.
- Usage: when you sign up and sign in, and counts of what your workspace does (such as how many deals or lookups), so we can run and improve the service.
- Technical: your IP address and browser details in our server and sign-in logs, and errors the app records, for security and to fix faults.
- Phone notifications: if you turn them on, the address your phone's browser gives us for delivering them, and the kind of device.
- Telegram: if you link it, your Telegram chat number.
We don't collect special category data (such as health or beliefs), payment details, or anything about criminal convictions.
4. Public records shown in DealWolf
DealWolf shows facts about property from official public sources: The Gazette, HM Land Registry, the Office for National Statistics, councils' brownfield registers, planning.data.gov.uk and others, each credited where it appears and used under the Open Government Licence. We keep what DealWolf needs about the property, not the people:
- We never store the names of people who have died, or their families.
- Executors are read live from the official notice and only shown once a workspace owner confirms their solicitor has approved how they'll make contact.
- For companies in administration or liquidation, we show the company and the insolvency practitioner's firm, never the directors.
If you think DealWolf shows something about you that it shouldn't, email dealsourcingmachine@gmail.com and we'll look into it.
5. Why we use it, and on what basis
- To provide DealWolf (your account, workspace, alerts and backups): because it's necessary for our contract with you.
- To keep it secure, fix faults and improve it: our legitimate interests in running a safe, working service.
- Phone notifications and Telegram: your consent, which you can withdraw any time by turning them off.
- To meet legal obligations, such as answering a lawful request from a regulator.
We don't sell your data, send it to advertisers, or use it to market other companies' products to you.
6. Who we share it with
Only the service providers that run DealWolf for us, on our instructions and under contract:
- Supabase: our database and sign-in, hosted in London.
- DigitalOcean: the server that runs DealWolf, hosted in London.
- Google: Google Drive, where we keep nightly backups.
- Apple, Google or Mozilla: if you turn on phone notifications, your phone's browser maker delivers them. They see the notification, not your workspace.
- Telegram: only if you link it, for alerts.
We may also share data with our professional advisers (lawyers, accountants, insurers), with authorities where the law requires it, and with a buyer of our business if it's ever sold, who would have to follow this policy.
7. Where it’s kept
Your data is held in the UK (London). Backups in Google Drive, and notifications sent through Apple, Google or Mozilla, may be processed outside the UK; those providers use safeguards recognised under UK law, such as the UK International Data Transfer Addendum or UK adequacy regulations.
8. How we keep it safe
Everything travels over encrypted connections. Passwords are stored scrambled. Each workspace is walled off from every other in the database itself, not just on screen. Only DealWolf's administrator can reach the system as a whole, and only to run it. If there's ever a breach that puts you at risk, we'll tell you and the ICO as the law requires.
9. How long we keep it
- Your account and workspace: while your account is open.
- When you ask us to delete your account, we delete it and its workspace within one month; copies in backups are gone within 30 days after that.
- The app's error and system log: 60 days.
- Nightly backups: 30 days.
10. Cookies
DealWolf uses only the cookies it needs to keep you signed in and, once you pick a country, one that remembers for a year whether you're working in the UK or the US. There are no analytics, advertising or tracking cookies. Your browser may also keep copies of pages so the phone app works offline, and drafts you're typing, on your own device.
11. Your rights
You have the right to:
- get a copy of the personal data we hold about you;
- have it corrected;
- have it deleted;
- object to how we use it, or ask us to restrict it;
- have it sent to you or someone else in a usable format;
- withdraw consent where we rely on it.
Email dealsourcingmachine@gmail.com. There's usually no fee. We may need to confirm it's you first, and we aim to reply within one month.
If your request is about data a DealWolf user holds in their own workspace (for example, you're on their list of investors), please contact that user, as they control it. We'll help them respond.
12. Changes to this policy
We'll update this page when anything changes and change the date at the top. If a change matters to you, we'll tell you in DealWolf. See also our terms of use.
